Storage orders in SMRT require a unique process to prevent the system from mistakenly flagging them as overdue, ready, or requiring payment before pickup. Follow these steps to ensure proper handling:
Creating a Storage Order
1. Create a Separate Storage Account
Open SMRT and create a new account for the existing customer.
In the Last Name field, add (STORAGE) after their last name. Example: Smith (STORAGE).
If the system requires a phone number or email, enter "no" to bypass these fields.
2. Link the Storage Account (For Heat Sealing Companies Only)
(Skip this step if your business uses paper tagging instead of heat sealing.)
Go to the existing customer account and click on their name to open Settings.
Locate and copy the Customer ID from the lower-left corner.
Open the newly created Storage account, click on their name, then navigate to the Admin tab.
Paste the copied Customer ID into the Linked Accounts box and click Add.
3. Create the Order
Process the order as usual in the Storage account.
To make the order clearly marked as Storage, add a Print on Ticket note with "STORAGE". This will print in large, inverted text at the bottom of each invoice.
4. Setting the Due Date
Choose one of the following options:
Option 1 (Recommended for Production Tracking): Set a realistic production due date, rack the order to a Storage Vault rack, and wait for the customer to notify you when they want pickup.
Option 2 (Long-Term Storage): Set the due date far into the future and rack the order to a temporary rack until production is required closer to pickup time.
Maintaining Storage Orders
1. Customer Requests Pickup
The customer will notify the cleaners in advance before pickup.
Remove items from Storage Vault and update the due date to reflect the actual pickup date.
Send items through pressing for freshening up, then rack them for pickup.
2. Tracking Storage Orders
Use Rack Logs to see what orders are currently in storage.
Ensure storage orders are easily distinguishable from regular orders by checking the Print on Ticket note and Storage Vault rack assignments.
