Employee Levels Explained

Every employee you create in SMRT is given a level. An employee's level decides what they can see and what they can do — which modules appear for them, which actions they're allowed to take, and how much of the Admin Panel they can open.

There are seven levels, listed here from the least access to the most:

Production-floor staff who only clock in and work stations

Detailers and mark-in staff who also need to look up customers and adjust item prices

3. Sales Clerk

Drivers, counter staff and tailors who take orders and handle payment

4. Store Manager

Store supervisors who correct orders, void payments and manage routes

5. Accounting

Back-office staff running reports and working in the Admin Panel

6. Sr Manager

Managers who also set up stations, pricing and delivery

7. Admin

Owners and anyone who needs full control

Each level includes everything the level below it can do, and adds more on top. Give each employee the lowest level that covers what they actually need — it's the simplest way to keep sensitive screens out of the wrong hands.

Your setup may differ. Almost everything in this guide is a default. Your business can raise or lower the level required for most modules and actions in your permission settings, so two businesses can behave differently. If something here doesn't match what you see, check your permission settings or contact support.


The levels in detail

1. Production

For employees who work the floor and nothing else. Production staff can clock in and use the station modules — Assembly, Bulk Mark-In, Pressing, Spotting, Alterations & Repairs, Wash & Fold, Inspection, Item Bagging, Folding & Bagging and Racking — plus Messages, Reports and Support. At their station they can also remove an item from its order, using the Remove button on the item menu.

Production employees cannot open customer accounts at all. They can't look a customer up, view an account, or see order history. If someone on your floor needs to do that, use Detailing or Sales Clerk instead.

2. Detailing

For detailers and mark-in staff. Detailing includes everything Production can do, and adds the customer lookup and pricing controls a detailer needs while working through an order.

Detailing is the first level that can:

  • Open the Customer module and look up accounts

  • Open the Delivery module

  • Open the Issue Tracker

  • Make manual price edits while detailing

  • Make manual alteration price edits

  • Edit special cares after detailing

  • Delete undetailed orders

If you currently split your staff between Production and Sales Clerk, Detailing is probably the level you're missing. It lets a detailer price and correct items without also handing them the full counter-staff permissions.

3. Sales Clerk

For anyone working the counter or a route. Sales Clerks can do everything Detailing can, plus the day-to-day selling tasks:

  • Add or use a customer credit

  • Open the cash box

  • Create statements

This is the most common level for drivers, sales clerks and tailors.

4. Store Manager

A significant step up, and the first level that can correct mistakes. Store Managers can do everything a Sales Clerk can, and additionally:

  • Open a customer's Admin tab

  • Void a payment and void a claim

  • Pay a claim

  • Reset an order and force finish an order

  • Push an order into A/R

  • Edit customer prices and add a customer discount

  • Apply a restricted promotion

  • Create a group

  • Override item ownership

  • Open Performance, the Price List, Route Manager and Employee Settings

  • Change station settings

Note that a Store Manager can push an order into A/R but cannot take it back out — removing an order from A/R needs Accounting or above.

5. Accounting

Adds the back office. Accounting has access to all customer, employee, production and financial reports, plus the Admin Panel itself. On top of everything a Store Manager can do, they can:

  • Open the Accounts Receivable module and remove an order from A/R

  • Open Admin Reports and the Timeclock module (Payroll lives here)

  • Edit a time clock

  • Create and edit employees

  • Create promotions

  • Change the sales agent or payment account on an order

Inside the Admin Panel they're limited to the Financials, Items, Orders and Production sections.

6. Sr Manager

Sr Managers see the same screens as Accounting day to day. The difference is that they can configure the system:

  • The Assembly, Delivery, Detailing / Pricing, Stations and Storage sections of the Admin Panel

  • Edit geo-fences

  • Edit gift card promotions

  • Retrieve station auth codes

  • Create and edit Accounting-level employees

7. Admin

Full access, including the two areas Sr Managers can't reach: Business settings (which contains MID Configuration) and the customer Database. Admins are also the only level that can access a customer's website or force delete orders.

The three rows in bold are the ones people most often get wrong: Customer, Delivery and Issue Tracker open up at Detailing, not at Sales Clerk.

The pattern is worth knowing:

  • Detailing adds the pricing corrections a detailer makes at the station.

  • Store Manager adds everything corrective — voids, claims, resets, force finish, discounts.

  • Accounting adds anything that changes who gets credit or what's on record — payment account, sales agent, employees, time clocks, A/R.

  • Admin keeps the few permanent or external actions to itself.

Two notes on Remove an Item at a Station, since it's the one action a Production employee can take:

  • It's the Remove button on the item menu at a production station, used on an item the employee has in front of them. It doesn't open the customer's account, so it doesn't need Customer module access — which is why Production staff can use it despite having no access to customer accounts.

  • Orders that haven't been detailed yet are exempt. Items can be removed from an undetailed order at any level, whatever this permission is set to.

You may also see a Manage Marketing permission in your settings. It isn't listed above because it's managed by SMRT rather than set to one of your employee levels — contact support if you need it changed.

  • Accounting gets the four day-to-day sections: Financials, Items, Orders and Production.

  • Sr Manager adds everything to do with setting the system up.

  • Admin adds Business settings (which includes MID Configuration) and the customer Database.


Choosing a level

If the employee needs to…

Three things worth remembering:

  1. Production staff cannot open customer accounts. The first level that can is Detailing — try that before jumping someone all the way to Sales Clerk.

  2. Remote Access is separate from an employee's level. It's its own per-employee setting that lets someone log in from a personal computer. Raising an employee's level does not give them remote access, and an employee at any level can be given it.

  3. These are defaults, not fixed rules. If a level in your business can do more or less than this guide describes, your permission settings have been adjusted — that's expected, and support can help you review them.
